General Overview
This position is generally responsible for the administrative support of Evanston based and remotely-based Gift Officers.  Works within a three-person administrative pool but also serves as part of a team assigned to specific North American zones.  Facilitates communication between Fund Development departments. Performs diverse, advanced and confidential administrative support functions including assisting in auxiliary functions related to the processing of contributions, processing of Bequest Society information, and building custom database reports. May manage a number of different and often conflicting objectives, projects or activities at one time.  Communicates with executives and management to convey relevant information.  May be involved with high-level donors and exposure to sensitive information, and must use considerable tact, diplomacy and judgment.  Thorough knowledge of a variety of software programs.
 

Education
Associate’s Degree or equivalent work experience preferred.

 

Prior Experience
A minimum of two years administrative experience is required

  • Experience with sales or fundraising preferred
  • Proficiency with Microsoft Office required (Word, Excel, PowerPoint, Outlook, and Visio)
  • Proficiency in a second language a plus


Specific Duties

  • Provides general administrative support to Gift Officers including reviewing expense reports, generating pre-approach letters, and fulfilling requests for publications.
  • Assists in travel logistics, including but not limited to: preparation and organization of trip folders, review and tracking of expense reports, coordinates Raiser’s Edge and NetForum updates
  • Assists in monitoring gifts in-progress and gift proposals made to ensure receipt of these gifts in a timely fashion, including but not limited to preparing various gift reports for moves management and prospects.
  • Ensure communication flow between Fund Development teams.  Assists with Gift Officer out of office coverage as needed
  • Special Projects as assigned

Review and submit expense reports as needed

Internal Contacts
Daily contact with managers, gift officers and other fund development staff

External Contacts
Some contact with Donors, Rotary Senior Leadership and Rotary volunteers such as Regional Rotary Foundation Coordinators, Endowment/ Major Gift Advisers district and club fundraising leaders, District Governors and Rotarians.
