General Overview
The Donor Stewardship Specialist serves as the primary author of stewardship reports and letters with the goal of stewarding and thanking donors while sharing the impact of their investment in The Rotary Foundation. In addition, the Donor Stewardship Specialist is the project leader on a coordinated communication and engagement plan for Rotary’s principal donors.
The Donor Stewardship Specialist is a vital member of the Donor Relations team. The team is committed to providing meaningful stewardship communications and activities which engage donors to the mission of The Rotary Foundation. Using excellent communication skills and a detailed approach, the Donor Stewardship Specialist will create customized stewardship reports and manage the process for reporting to all endowed fund and term gift donors.
Bachelor’s degree or equivalent required; advanced degree preferred.
Prior Experience
A minimum of three years of experience in development or a related field. Prior donor relations, major gift, donor communications experience strongly preferred.
Knowledge and Skills
Exceptional writing skills are essential and critical to success in this role. Proven talent to write engaging and informative communications to high-level donors and organizational leadership.
Being a self-starter, highly organized and able to proactively manage time and projects. In addition, demonstrated ability to oversee and prioritize multiple projects from inception to completion to reach goals on time.
Strong inter-personal skills and a professional demeanor needed. Also, a demonstrated ability to interact and provide quality customer service to high-level donors, top Rotary Senior Leaders and internal constituencies are necessary. Works well independently and collaboratively in a team setting and able to function well under pressure in order to meet deadlines in a fast-paced environment.
Technically capable; experience with Microsoft Office software required.  Proficiency in PowerPoint, Word and Excel is essential.  Experience using customer and fundraising databases such as Raiser’s Edge is strongly preferred. Knowledge of other applications such as; PeopleSoft, SAP, Adestra and Qualtrics, preferred.
Ability to effectively work with a global audience and team. Capacity to maintain a culturally conscious perspective and understanding of the difference in international business practices while working with vendors, donors and leadership from around the world. Fluency in a second language, a plus.
Specific Duties
Responsible for composition and administration of donor stewardship reporting and developing content for broad-based communications; ensuring high-quality content and timely communication to donors.  Duties include, but are not limited to, the following:
  • Liaison between Fund Development, Gift Administration, and Programs and Grants to ensure accurate and thorough stewardship reports
  • Write stewardship reports to endowed and directed gift donors for the Global Grants programs and other specialized reports as needed.
  • Assist with drafting acknowledgement and stewardship letters, as needed
  • Compose scripts for donor events
  • Create donor biographies for donor events and recognition gallery display
  • Produce bi-annual newsletter for Arch Klumph Society members and oversee distribution
  • Write recognition and acknowledgement letters as needed
  • Provide exceptional customer service to donors and Rotary senior leadership
  • Some extended hours, including weekends, will be required to support donor events
  • Other duties as assigned
Budgetary Responsibility
Prepare and submit expense reports and purchase orders as needed.
Internal Contacts
Polio and Philanthropy staff; primarily Gift Administration and Gift Officer teams. Significant contact with Programs and Members Services, Global Communication and International Offices.
External Contacts
Frequent one-on-one interaction with high-level donors, Rotary International President, The Rotary Foundation Trustee Chair and other Rotary Senior Leaders as well as other key volunteer leaders. Other external contacts include; vendors supporting donor stewardship activities and materials.
