Intake Assistant

Responsibilities

  • Performs daily data entry of information into the PROMIS database system
  • Fills in for Family Advocate/Family Support Specialist vacancies/absences, as needed.
  • Performs administrative duties including but not limited to: answering phones, filing, making copies, faxing documents, sending emails.
  • Provides administrative support to the Family Partnership.
  • Greets and communicates with staff, parents, children and the general public in a courteous and pleasant manner.
  • Maintains organized case files on all families that contain written documentation and appropriate forms for all activities and enrollments.
  • Assists with the enrollment of children in the Head start and Early Head start programs.
  • Completes intake meetings with families of children enrolling in the program, as assigned.
  • Keeps the Outlook appointment calendar up-to-date as well as the Appointment Scheduler in the PROMIS system.
  • Assists the Family Advocates/Family Support Specialist with contacting families by phone or letter to verify the reason for the absence and follows up with written communication as outlined in the Standard Operating Procedures.
  • Assists with maintaining the current waiting list/s and update as needed.
  • Assists with monitoring children’s attendance to ensure that they are complying with the agency’s attendance policy and informs the ERSEA Coordinator when children’s attendance falls below 85%.
  • As needed, attends community fairs and other events for the purpose of recruiting/enrolling children for Head Start.
  • Assists with measuring height and weight for children, lead screenings and vision screenings and enters data into PROMIS.
  • Assists with making sure that documentation of health requirements for Head Start participants is in the children’s records.
  • Other duties as assigned.

Minimum basic requirements

  • High School diploma  or general education degree (GED) required
  • Must have experience working in a clerical support position
  • Demonstrated high quality customer service
  • Valid driver's license, at least minimum automobile insurance coverage and availability for local travel as needed
  • Bilingual in English and Spanish.
