Family Development Services is accepting application for our Facilities Coordinator position who manages our Custodian/Building Maintenance department and facilities.
Responsible for maintenance and cleaning of facilities occupied by FDS, including supervision of all maintenance staff. Coordinates the design, planning, construction, maintenance, and alteration of buildings, and other facilities. Oversees the maintenance and care of all agency-owned vehicles and other transportation-related duties. Coordinates with FSSA re: child care center building and licensuring requirements.
Essential Duties and Responsibilities include the following:
Plans and schedules facilities modifications including cost estimates, bid sheets, layouts, and contracts for construction and acquisitions under $100,000.
Formulates and coordinates program specifications, requirements for proposals and contracts, and associated documents in compliance with federal regulations for projects over $100,000.
Acts as liaison to public utility, environmental, and energy agencies.
Oversees and directs maintenance personnel and workers engaged in equipment installation, facilities equipment repair, and preventive maintenance at all sites.
Receives all work orders for the organization and determines an appropriate course of action to address each work order submitted. Maintains records of work orders for review and analysis purposes.
Develops maintenance and custodial procedures and policies for the entire organization.
Procures vendors to complete specific tasks/repairs, as needed and follows procedures related to the Davis-Bacon Act and procurement.
Develops and implements quality assurance activities including on-site visitation, program review, consultation and follow-up to ensure compliance with all federal/state regulations and laws.
Develop and implements yearly and quarterly training for Facilities Staff and Food Service Drivers.
Maintain State Licensing Records of all locations and assure all facilities are in compliance with all regulations including playgrounds.
Track and maintain State Licensing Renewals and submit renewal applications as needed to remain in compliance.
Track and maintain Fire and Building code records and assure all facilities are in compliance at all times.
Submit bids to secure vendors and contractors for goods and services every three years.
Oversees and assists with all lawn care including snow removal at multiple locations.
Manage agency’s Crisis Manager App and administers agency’s Emergency Management Plan including training of Center Staff.
Manage and maintain agency’s CMMS (Computerized Maintenance Management Software), which includes general work orders, preventive maintenance and inventory.
Demonstrates an active understanding of role as manager and assumes responsibilities appropriately for the benefit of the entire organization.
Assesses training needs within the organization related to transportation services, and provides ongoing training to Facilities staff and Food Service Drivers.
Works in cooperation with the Food Service Supervisor to ensure Food Service Drivers are meeting expectations.
Develops and implements quality assurance procedures that monitor the physical condition of agency vehicles.
Maintains safety of agency vehicles and transportation property.
Maintain and train all qualified drivers on agency’s Fleet Safety Program
Monitors and schedules preventive maintenance on agency vehicles as needed.
Recommends maintenance, repairs and/or replacement of equipment when needed.
Investigates and follows-up on all accidents and incidents concerning agency vehicles.
Tracks fuel usage of agency vehicles and submit report to finance each month.
Other duties as assigned.
