Responsibilities Include

Summary
 
The Family Development Services Receptionist will assists the Operations Department, the administrative group, and the Human Resources staff by performing various administrative secretarial responsibilities to maintain management quality.  Provides support for clerical functions and component copying activities.  Greet clients in person and by telephone in a courteous and professional manner.
 
Operates all office equipment.
 
Answers and screens calls for administrative and Human Resources staff.
 
Assists with filing confidential material as needed.
 
Transcribes and/or composes written communications as requested by Operations staff.
 
Organizes and maintains records of the Operations staff.
 
Continuously evaluates the quality of service provided to the client and, in conjunction with supervisor, initiate improvements as needed.
 
Schedules appointments, meetings, and make reservations for Operations and Administration staff.
 
Receives, dates, stamps, and distributes mail for the administrative office staff.
 
Uses a computer for correspondence and other work assignments.
Books meeting rooms as needed for training or other meetings.
 
Greets clients and directs them to appropriate personnel, both physically and by telephone.
 
Provides support for clerical functions and component copying activities.
 
Maintains program operations schedule specific to component needs.
 
Coordinates and maintains incoming mail system.
 
Continuously evaluates the quality of service provided to the client in conjunction with supervisor and initiate improvements as needed.
 
Assists in receiving repair and supply requests for copiers at all Head Start locations.
 
Fill in for the Support Services Secretary as needed.
 
Performs additional administrative secretarial responsibilities as assigned.
 
Other duties as assigned.

Specific Requirements:

Applicants must meet the following basic qualifications for consideration:

High School Diploma or GED is required.
 
Training or experience in office and clerical setting.
 
Ability to organize and maintain records accurately.
 
Ability to communicate effectively with personnel and with the public in direct and telephone contacts.
 
Ability to work with children and families of differing cultural and socio-economic backgrounds.
 
While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and talk or hear.  The employee must occasionally lift and/or move up to 50 pounds.  Specific vision abilities required by this job include close vision, color vision, depth perception, and ability to adjust focus.
 
Applicants with the following qualifications are preferred:
 
Ability to fluently communicate in Spanish is preferred.
