GENERAL DESCRIPTION
The Conference Service Manager will report to the Director of Sales and Events.  This individual will prepare all event documentation and coordinate with Sales, on-property departments and the customer to ensure consistent, high level service throughout the pre-event, event and post-event phases of on-property events. This position primarily handles complex events. Ensures a seamless turnover from sales to service back to sales. Recognizes opportunities to maximize revenue by up-selling and offering enhancements to create outstanding events. Supports and acts on behalf of the Director of Sales his/her absence. Serves as the event planners / clients’ primary contact (following turnover) on property and is responsible for his/her experience. Employee will need to exhibit strong written and verbal communication skills, proficiency in sales computer systems including Resort Suite, Delphi, Excel, and strong organizational/administrative skills and coordinating across the organization. 
 
 
EDUCATION/EXPERIENCE
  • 4 years of progressive experience in a hospitality sales
  • Or a 4 year college degree and at least 3 years of related experience
  • Or a 2 year college degree and 5 or more year of related experience
 
ESSENTIAL FUNCTIONS
Primary responsibilities include, but are not limited to, the following:
  • Primary point of contact for corporate, social and golf groups while clients are on property
  • Meeting all clients while on property
  • Knowledge of resort software systems to include but are not limited to: Delphi, Resort Suite, Tee Sheets, SalesForce, etc.
  • Planning and detailing upcoming client meetings, events and golf outings
  • Upselling of F&B, décor, merchandise and services for events
  • Producing Banquet Event Orders and communicating to the Banquet staff the food and beverage needs of the group
  • Participating in departmental meetings
  • Following up on rooming lists and coordinating with the Inns, The Ridge and Golf.
  • Filing and maintaining sales contracts for the sales and catering departments for Geneva National
  • Answering the phones for Geneva National, sales, and catering department.
  • Performs special projects as needed
 
 
 
SUPPORTIVE FUNCTIONS
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of the time performing each function to be solely determined by the director based upon departmental and hotel needs.
  • Assist other departments in administrative needs if necessary.
  • Assist with needs for member events.
  • Assist in making Golf reservations and other customer service needs.
WORKING CONDITIONS AND PHYSICAL DEMANDS
  • 40-60 hours a week – schedule based on group / department needs
  • Normal business hours and as groups dictate, including evenings and weekends as needed
  • Ability to work up to 12 hour shifts if needed
  • Occasional light lifting
