Human Resources Coordinator (Entry Level), Part-time - Benefit eligible
ASSOCIATION/DEPT:    EDI
REPORTS TO:               Director of Human Resources and Office Support
DIRECT REPORTS:       None
STATUS:                         Non-Exempt (20 hours/week) Preferred schedule: 10am - 2pm, Monday - Friday

GENERAL SUMMARY
Provide administrative support for the Human Resources Department (primarily in the areas of recruitment and development) and Reception area.

HR/RECEPTION RESPONSIBILITIES (20 hours per week)
  • Post job openings in Newton (ATS) and any applicable recruiting websites; refresh when necessary; Perform prescreening phone interviews. Perform reference and background checks as needed. Partner with hiring managers to better understand their hiring needs and candidate qualifications of for their open positions. Train hiring managers on Newton as necessary.
  • File, copy, fax, maintain electronic and paper files, coordinate material distribution and/or emails and mailings as directed
  • Track and maintain records of employee referrals
  • Scan, update, and maintain employee records in Dynafile 
  • Prepare new employee orientation binders and nameplates
  • Coordinate/set up new employee lunches.
  • Assist with career fairs as needed
  • Coordinate address changes
  • Track and process Professional Development and Tuition Reimbursement requests
  • Assist in initiating CoP involvement to help make connections among staff and bring awareness on how to effectively engage in CoPs. Serve as an Administrator of the CoPs within Miicrosoft Teams, help train staff as needed.
  • Track and manage EDI’s Corporate Memberships; set-up company-wide webinar events
  • Track and send out anniversary, Holiday, and special occasion cards
  • Assist with processing annual Employee Benefit Statements
  • Serve as backup answering phones in Reception
  • Check jobs@execinc.com email account and general voicemail box and respond as necessary
  • Seek and implement ways to improve HR processes and procedures
  • Perform other duties as assigned

AMOUNT OF TRAVEL REQUIRED: None

EDUCATION/EXPERIENCE REQUIRED: The ideal candidate will have 1 year of HR, administrative/reception experience.  Excellent organizational skills are essential.  Outstanding interpersonal, oral and written communications skills are a must; computer proficiency; familiarity with MS Office; proficiency with Word and Excel software. Experience with Applicant Tracking Systems, a plus.  Bachelor’s degree preferred.

PHYSICAL REQUIREMENTS: Minimal lifting required.
