Administrative Coordinator, CARRA
 
CLIENT ASSOCIATION: Childhood Arthritis and Rheumatology Research Alliance (CARRA)
REPORTS TO: Director of Administration, CARRA
EMPLOYMENT STATUS: Non-Exempt
 
GENERAL SUMMARY:  The Administrative Coordinator provides administrative support to the CARRA leadership, the Executive Director, and all CARRA staff. This position works closely with the Director of Administration for CARRA to support the day-to-day administrative functions of CARRA.
 
POSITION RESPONSIBILITIES (Minimum of 37.50 hours/week):
  • Maintain CARRA conference call calendar, including the scheduling of calls and distribution of calendar invites.
  • Assist with incoming and outgoing e-mails, phone calls, correspondence, and other day-today organizational functions.
  • Update Committee/workgroup email listservs
  • Process vendor invoices.
  • Assist in the organization and maintenance of CARRA’s electronic and physical files.
  • Assist in the regular generation of CARRA operational and metric reports
  • Assist in the follow-up and coordination of various CARRA contracts
  • Assist in the tracking of data/sample share progress report
  • Provide administrative support to Committees/workgroups including the Fellows Committee, Elections committee, CTP Committee, Early Investigators, Small Center, RCAC, disease workgroups (JIA, JDM, Pain, SLE, SVARD, TRTC) and others as they are formed.
  • Maintain CARRA inventory of office supplies, letterhead and envelopes and materials.
  • Work with internal departments (IS, TS, CS, Mail and Accounting) as needed for CARRA projects.
  • Communicate with related organizations, printing, mailing and other vendors as needed.
  • Assist CARRA Executive Director and Director of Administration with additional projects as needed.
  • Other duties as assigned.
AMOUNT OF TRAVEL REQUIRED: Approximately 10 days per year; some evening and weekend work may be required.
 
EDUCATION/EXPERIENCE REQUIRED: Bachelor’s degree preferred; excellent organizational and communications skills; computer proficiency; high accuracy; attention-to-detail; ability to travel internationally.
 
PHYSICAL REQUIREMENTS: Ability to lift up to 50 lbs.
