Administrative Coordinator, CIS/SRI

CLIENT ASSOCIATION: Clinical Immunology Society, CIS (50%) and Society of Reproductive Investigation, SRI (50%)

POSITION REPORTS TO: Associate Executive Director, CIS/SRI

EMPLOYEE STATUS: Non-Exempt

GENERAL SUMMARY:  Provides membership, communication, and administrative assistance to CIS/SRI. Under the direction of the Associate Executive Director, the Administrative Coordinator is responsible for the CIS/SRI membership application and renewal processes and handles most membership activities as well as all paper and electronic communications. This position works closely with the Associate Executive Director of CIS/SRI implementing activities that further CIS/SRI objectives. Provides assistance to and works with other staff in all areas of client activities. Implements specific administrative projects as assigned. Some evening or weekend work may be necessary during busy times but will accommodate for religious purposes.

POSITION RESPONSIBILITIES (37.5 hours/week): 

Responsibilities include, but are not limited to:

  • Coordinate all aspects of membership management for both SRI/CIS. Maintains membership database changes and management, report creation, website update. Supports Associate Executive Director, Program Manager, and Meetings Managers with membership related functions such as general letters and other communications;
  • Coordinate annual dues invoicing process for SRI/CIS;
  • Serves as co-staff liaison for the CIS Early Career Immunologists Committee;
  • Serves as co-staff liaison for the SRI In Training Member Committee;
  • Provide records to CIS/SRI journal publishers for online and print subscriptions and ensuring records are accurate;
  • Liaise with EDI Information Services Dept. for reports on entry of new members and membership renewals;
  • Answer information calls regarding CIS/SRI related programs and activities; monitoring the info@clinimmsoc.org and info@sri-online.org accounts and checking the night voicemail boxes;
  • Assist Associate Executive Director, Program Manager, and Meetings Managers with providing administrative support to CIS/SRI leadership;
  • Oversee client inventory including supplies, letterhead, reference materials and order as necessary;
  • Providing financial administrative assistance, such as deposits/cash sheets, check requests, drafting and distributing staff memos, coding and submitting invoices to be paid, receipts, refunds, reimbursements, etc.;
  • With Meetings Managers, coordinate annual meeting registration for both CIS and SRI, working with EDI Information Services Dept. to set up registration in iMIS, processing payments, sending confirmations, and assisting with general meeting related questions;
  • Process donations and send thank you letters;
  • Assist with preparation of onsite annual meeting materials including printing badges and stuffing registration packets and assisting with ship out;
  • Once developed and created by SRI Meetings Manager and Program Manager, input all necessary information and data into the annual meeting mobile app;
  • Other duties as assigned.

AMOUNT OF TRAVEL REQUIRED: Approximately 2-3 weeks per year. Some weekend and evening work may be required.

EDUCATION/EXPERIENCE REQUIRED: Bachelor’s degree preferred; excellent organizational and communication skills; team player; ability to prioritize varied assignments and handle multiple projects; proficiency in Word, PowerPoint; knowledge of Excel, iMIS and Outlook. 

PHYSICAL REQUIREMENTS: (lifting, packaging, etc.)  Minimal lifting required – usually at meetings or while exhibiting. Ability to move quickly within meeting facilities.
