Contracts Manager, CARRA

POSITION(S) REPORTS TO: Director of Administration, CARRA
Provides managerial support to the Director of Administration for the tracking and administration of CARRA’s contracts. Position maintains high level of responsibility, exercising discretion and sound independent judgment in performing assigned tasks. Ideal candidate will have strong attention to detail, strong communication, problem solving, budget management, and computer skills (including word processing, spreadsheets, and specialized databases).

POSITION RESPONSIBILITIES: (Minimum of 37.5 hours/week)
  • Maintain tracking of all CARRA contract related obligations, including ongoing payments.
  • Provide guidance on institutional policies and procedures.
  • Follow up promptly with entities to ensure timely processing of requests.
  • Process contract agreements, continuations, supplements and amendments. Work with the CARRA lawyers to review, analyze and negotiate contract terms and conditions in keeping with CARRA requirements, applicable guidelines, and laws and regulations.
  • Prepare, negotiate and issue subcontracts/subawards.
  • Manage relationships with external sponsor contacts throughout the contract cycle.
  • Follow up promptly with entities to ensure timely processing of requests.
  • Ensure extensions and amendments (including budgets revisions) are developed and properly approved.
  • Assist with internal and external audits as required.
  • Maintains accurate and detailed records by managing multiple project databases, files and systems to track CARRA contracts as needed.
  • Create reports and compile contract-related statistics.
  • Coordinates internal work orders, works to streamline processes as needed. Works as staff liaison with EDI support services.
  • Communicates with CARRA members, related organizations, staff, internal and external vendors for contract activities.
  • Provides general administrative support, including but not limited to: copying, faxing, database management (including iMIS updates), maintaining computer and paper files, scheduling and participating in conference calls, coordinating mailings, and drafting letters.
  • Other duties as assigned
Some travel may be required. Some early morning/evening work may be required.
EDUCATION/EXPERIENCE REQUIRED: Bachelor’s degree; excellent organizational and communications skills; computer proficiency including Microsoft Word, Excel, PowerPoint; high accuracy; strong attention-to-detail.
Additional preferred experience: experience with negotiation and management of contracts and/or other legal agreements; NIH grants, contract, subcontracts.

PHYSICAL REQUIREMENTS: (example - lifting, packaging, etc.)
Occasional lifting of 50 pounds may be required.
