Administrative Manager, CAOHC
CLIENT/ASSOCIATION: CAOHC, Council for Accreditation in Occupational Hearing Conservation

EMPLOYEE STATUS: Exempt
 
GENERAL SUMMARY: Primarily works with CAOHCs learning management system (LMS) for the Occupational Hearing Conservation (OHC) standardized exam candidates.  Additionally this position will work with Course Directors (CD) and Professional Supervisors (PS) preparing to take exams via the LMS. Provides support to Executive Director.
 
POSITION RESPONSIBILITIES:
  • Implement, manage and maintain online learning management system (LMS) for the OHC standardized exam.
  • Launch the beta testing process for OHC standardized exam within the LMS
    • Liaise with OHC committee to revise existing policies and procedures for LMS.
    • Liaise with Executive Director (ED) and OHC committee to create training materials for CDs.
    • Launch the “go live” process for the OHC standardized exam within the LMS.
    • Assist in phasing out the current paper based processes.
  • Manage and maintain OHC course administration using new LMS.
  • Manage registration process for CD and PS workshops.
  • Processes credit card charges, prepares check/cash deposits related to CD & PS candidates.
  • Manage logistical preparations related to spring and fall CAOHC Council meeting as well as CD and PS courses.
  • Act as scribe during Council meetings and select committee meetings that this position will liaise with.
  • Coordinate participant educational requirements from the application stage through the exam stage for both CD and PS workshop participants.
  • Serve as backup for other administrative duties as needed.
  • Other duties assigned by the Executive Director.
 
AMOUNT OF TRAVEL REQUIRED: One week per year; some evening work may be required.
 
SCHEDULE: Preferred availability within our 7:30am - 5pm business hours (which will accommodate East or West coast constituents)
 
EQUIPMENT USED: iMIS membership database, Web Courseworks™ web-based learning management system, PC with Windows environment including WORD, Access, Adobe and Excel software. All other standard office equipment (IP phone system, fax, copiers, etc.)
 
EDUCATION REQUIRED: Bachelor’s degree preferred.
 
PROFESSIONAL EXPERIENCE AND SKILLS REQUIRED: One year professional experience in customer relations setting, oral and written communication skills.  Experience with prioritizing tasks and multiple project management. Experience with web-based learning management systems.
 
INTERNAL/EXTERNAL RELATIONSHIPS: Contact with CAOHC Council (board) members, CAOHC constituency (i.e. occupational hearing conservationists, course directors, and professional supervisors)
 
PHYSICAL REQUIREMENTS (example - lifting, packaging, etc.): Some packaging and lifting up to 30 pounds. Ability to move easily within the office setting. Some lifting and moving of boxes in preparing for meeting registrations and ship out.
