Reporting to the Lead IT Procurement Coordinator, the incumbent is responsible for processing procurement requests through to completion, requirements analysis, vendor management, contract execution, categorization and organization, process definition, and corporate governance over IT’s procurement functions, for the purpose of maximizing financial and operational performance, while minimizing business risk. The IT Procurement Coordinator is also expected to manage the overall lifecycle management for all IT hardware and software assets.
Role and Responsibilities
  • Sustain a standardized asset management process enabled by the ServiceNow platform
  • Document appropriately scaled IT asset management processes to meet business requirements
  • Assist key ServiceNow development resources to define business & technical requirements as well as deploy functional IT asset management within the ServiceNow platform
  • Mentor associates on the IT asset management process and lifecycle
  • Consult with business associates and vendors on purchasing requirements including processing of purchase orders, returns, asset reconciliations, invoicing, and negotiations
  • Maintain proper accounting of inventory at multiple sites worldwide
  • Deliver cost insight and oversight through defined reporting metrics
  • Process technology procurement requests for all enterprise business units in in accordance to company standards and processes
  • Assess and analyze new technology requests against current defined approved equipment catalog, providing business case justification where required
  • Seek cost saving opportunities, identifying areas of low usage or expired business need, refinancing, and consolidation efforts
  • Participate with vendor interactions, negotiations, and renewals
  • Prioritize and manage multiple concurrent purchase, reconciliation, inventory, and warranty requests
  • Maintain highest levels of integrity and ethical procurement process
Qualifications and Education Requirements
  • Minimum of 2+ years successfully demonstrated purchasing, vendor relationship, and negotiation management experience
  • Strong understanding of ITIL v.3 and relevant certifications
  • Licensing knowledge with large vendors such as Microsoft, Dell, Adobe and CITAM/IAITAM certification are assets
  • Hands-on experience with ServiceNow IT Asset Management an asset
  • Prior working experience with ServiceNow CMDB and hardware/software discovery an asset
  • Complete understanding of both hardware and software life cycle management
  • Ability to participate in design workshop, development, testing, and deployment activities
  • Ability to write concise and accurate documentation and maintain accurate records of contracts, inventory, and directories
  • Effective time management, task prioritization, and ability to consistently meet deadlines
  • Able to work independently or as part of a team. A proven self-starter and highly motivated to make proactive changes
  • Possess excellent organizational, written/verbal communication and problem-solving skills, and highly analytical aptitude
