ADMINISTRATIVE ASSISTANT

REPORTS TO: DIRECTOR OF SUPPORT CENTER
FLSA STATUS: NON-EXEMPT

Position Summary:
The Administrative Assistant is responsible for various secretarial and administrative duties for the Support Center.
 
Pay Range: $13.00-$15.00 per hour pending experience

Essential Responsibilities:
  • Answers Support Center phone and directs calls accordingly
  • Greets Support Center visitors and directs them accordingly
  • Composes and produces business correspondence, reports, and edits documents as needed
  • Ensures confidentiality and controls access to sensitive information, such as staff personnel files
  • Responds to inquiries and requests for information requiring knowledge of departmental and company policies and procedures
  • Researches information, as requested, and relays pertinent information
  • Performs administrative duties associated with scheduling and coordinating meetings
  • Researches and gathers data as requested
  • Sort and distribute incoming and outgoing mail
  • Maintain organization and cleanliness of office by taking out the trash at the end of each day, refilling the paper towel dispenser, wiping down dirty counters and desks, and keeping the office organized and clean
  • Filing of paperwork as needed
  • Shredding of sensitive paperwork as needed
  • Purchase, receive and store office supplies
  • Order other necessary items for the company
  • Assist in accounting tasks such as entering, printing, and mailing bills
  • Assist with Grand Opening tasks by communicating with vendors regarding product and pricing, creating vendor contact list, creating supply/supplier list, etc.
  • Prepare and send out faxes
  • Manage company calendar
  • Manage social media posts on facebook, twitter, etc.
  • Performs other related duties as assigned or requested.

Qualifications/Skills:
  • Willingness and ability to work in a fast-paced, entrepreneurial environment with minimal support structure
  • Ability to work with all levels of management, including executive leadership team and store operations
  • Proficiency with accounting systems and spreadsheets (MS Excel, MS Office Suite, Quickbook)
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow
  • Versatility, flexibility, and a willingness to enthusiastically work within constantly changing priorities
  • Proven leadership and business acumen skills
  • Commitment to excellence and high standards
  • Excellent written and verbal communication skills
  • Fulency in Spanish is a plus

Education and/or Experience:
  • A Bachelor’s Degree or Associate’s Degree in business or related discipline is preferred
  • Minimum of 2 years experience
