Sales Coordinator
Reports to: Director of Sales and Marketing
We are looking for a highly motivated individual who is responsible for providing administrative support to Sales Managers and the Director of Sales & Marketing.  The ideal candidate has a friendly demeanor, the ability to learn new computer programs, can multitask, accept new challenges with skill, and complete projects in a timely manner.  This person should demonstrate exceptional customer service, initiative, problem solving skills, and have front desk and or hotel sales office experience.
The Sales Coordinator will assist Sales Managers and the Director of Sales & Marketing with administrative duties including but not limited to: data entry, Word processing, account management, and customer follow up.  This position will coordinate account client needs and client events.   The Sales Coordinator will maintain files, systems and communication to other departments as directed by Sales Managers, and Director of Sales & Marketing.   
This role plays a key role to the success of the Hotel, and the key responsibilities are listed below, but not limited to:
  • Managing all guest room inventory
  • Managing all leads and inquiries
  • Managing communication between the Sales Office, Front Desk and Food and Beverage
  • Managing all group billing and commissions
  • Ordering and managing all Sales collateral
  • Generating all requested reports on a daily basis, and constructing the daily VIP report, and guest service updates
  • Attend all city-wide Pre Cons
  • Generating weekly staff packets
  • Generating weekly pickup reports, and managing inventory changes and requests
  • Answering phones and taking leads
  • Entering rooming Lists
  • Keeping the Sales Department stocked with Office Supplies, Sales Packets & Catering Menus
  • Assist with marketing initiatives
  • A true desire to satisfy the needs of others in a fast paced environment
  • Refined verbal and written communication skills
  • Proficient knowledge of the following computer applications: Hilton’s On Q, Passkey, and MeetingBroker
  • Strong analytical, organizational and interpersonal skills
  • 2 + years hotel sales experience is preferred, but will accept candidates with strong administrative background
