Under the guidance of the Director of Clinical Operations, the Site Supervisor oversees the entire operations of their assigned clinic(s). The Site Supervisor will be responsible for ensuring that the site is operating as efficiently & effectively as possible to provide a positive patient experience and for a maximum return on revenue. This includes, but is not limited to, monitoring clinic flow, focusing on upfront collections, monitoring staff productivity, addressing patient complaints and access issues, and utilizing quality data to ensure that performance standards are maintained. This position is directly responsible for supervisory oversight of the clinical support staff


  • Collaborates with the Director of Clinical Operations in managing the daily operations of the assigned clinic(s)
  • Problem solve & manage the clinical site including but not limited to the management of supplies, ordering and storage, communication with vendors, maintenance, repair, and annual inspection of equipment
  • Responsible for knowledge & compliance of all policies and procedures
  • Adheres to established business objectives and criteria for assigned clinic(s)
  • Collaborate with the Director of Clinical Operations to maximize efficiency and clinic flow
  • Manage time & attendance of clinical support team to ensure adequate staffing for hours of operation
  • Responsible for creating a culture of quality customer service and being an advocate for patients
  • Participate and assist in the resolution of patient complaints and grievances in conjunction with the Office of Quality Assurance & Compliance
  • Provide appropriate training and education to staff as directed
  • Manage the quality improvement program for assigned clinic(s)
  • Ensure assigned clinic(s) remain in compliance with Patient Centered Medical Home standards
  • Oversees department orientation, training and individual employee development for new and current staff
  • Provide appropriate and complete documentation to the Director of Clinical Operations & Human Resources in all disciplinary actions
  • Provide recommendations to the Director of Clinical Operations on the appropriate course of action regarding personnel decisions
  • Ensure adherence to all programs, such as HIPAA, State Funding programs, etc. for assigned clinic(s)
  • Perform audits (payer; program; internal; or external) for assigned clinic(s) and report as directed
  • Complete ownership of the Electronic Health Record System (Athena), including but not limited to designated Superuser status
  • Prepare status reports as directed to update the status and implementation plans of programs, services, and quality initiatives
  • Serve as the liaison between the providers and clinical support staff
  • Conduct staff meetings, maintain open communication, and encourage teamwork for all staff
  • Implements, monitors and revises annual goals, objectives and performance standards for assigned clinic(s)
  • Consult with the Director of Clinical Operations to discuss service problems, respond to community needs, coordinate activities and plans, and promote health programs
  • Active participation in special projects as assigned
  • Actively participates in the agency’s QA/QI initiatives, and engages the full team in quality assurance activities.
  • Perform other related duties as necessary or required
  • AA/AS or BA/BS preferred
  • Minimum 2 years management experience in a clinic/outpatient environment preferred
  • Must have the ability to deal effectively with patients, medical staff, administration, and the public
  • Ability to monitor/assess performance of staff and operations to make improvements or take corrective action
  •  Must possess excellent leadership, and communication skills
  • Adequate written and verbal communication skills for communicating coherently and professionally with patients and co-workers.
  • Familiarity with all business office machines (i.e. computers; multi – line telephones; copier; fax machines; etc.)
  • Knowledge of Electronic Health Records (EHR) systems preferred
  • Microsoft Office (Word, Excel, Power Point) experience preferred
  • Data analytic skills a plus
