Overview:
To ensure that the resort is efficiently providing each guest’s reservation (from all sources) with the most thorough and professional service, in an expedient manner while ensuring the reservations are properly set up for the guest’s arrival after the time of booking.
 Responsibilities:           
  1. Complete updates daily for each property by the requested deadline. Ensure deposits are taken as outlined in the terms and conditions, add resort fees, add the third party reference number for billing purposes, and monitor reservations for low rates.
  2. Monitor for any interface errors while completing these updates, looking for incorrect rate codes or company names. Fix the reservation accordingly and notify management of the errors
  3. Assist the Front Office of each resort with completing daily arrivals reports including reviewing on the books reservations for accuracy, have the necessary deposit details, and ensuring that they are active with appropriate rates.
  4. Manually enter wholesale reservations, and respond to third party with corresponding confirmation numbers. Complete cancellation requests as needed.
  5. Ensure reservations are inputted into the PMS (Property Management System) efficiently and timely with the utmost accuracy.
  6. Assist in maintaining the inventory as it relates to observing “opened” and “closed” dates to utilize availability through room sales for maximum occupancy without overselling the resort.
  7. Respond to guest inquiry via email or phone calls, when needed, with the utmost professionalism and with thorough and accurate responses.
  8. Ensure that all staff members smile and greet all guests and co-workers.
  9. Expedite special projects as requested within the time frame required.
  10. Communicate effectively with all departments.
  11. Attend departmental meetings with staff.
  12. Assist in all property emergency procedures and protect both our guests and employees on a day to day basis.
  13. Maintain and ensure a high level of professionalism throughout the department and staff.
  14. Operate in compliance with all local, state and federal laws and government regulations.
  15. Maintain effective communication in Reservations Department.
  16. Maintain a secure and safe environment for employees and guest.
  17. Remain flexible in their work schedule to best contribute to the overall operations of the department and the various resorts
 
Job Requirements:
  1. Must be able to quickly prepare a reservation for check in, while accurately staying within the terms and conditions of the resorts’ policies
  2. Must be able to multitask and handle periods of intense data entry work
  3. Must be proficient with computer skills to adapt to the PMS.
  4. Available to work flexible schedules, mainly 2:30 pm-11 pm
  5. Must be able to sit for extended periods of time
