  • Answer the telephones, query the needs of the caller and respond appropriately
  • Add/Remove main scanner as needed
  • Prepare VIP “welcome” signs and have  posted at the appropriate time and place
  • Assist the Sales Manager with the preparation and distribution of the annual marketing and business plan
  • Conduct market research as instructed by the SM
  • Respond to the customer requests for information and collateral
  • Create a policies and procedure manual for the sales and catering departments and update on a regular basis
  • Follow-up with housing bureau & reservations in regard to weekly group pick up of room blocks, release as needed
  • Preparing resume for all groups with the necessary contact, necessary documents and block. 
  • Distribute to all departments upcoming group function & event information
  • Inventory sales collateral and advise the SM when to reorder to insure we do not run out of collateral.
  • Prepare sales kits to insure there are always 25 or more available each day for the sales team as well as the front desk on weekends.
  • Ship sales kits, the tradeshow booth, promotional items, etc to destinations advised by the sales managers and insure an “on time: delivery
  • Prepare and distribute site inspection agendas in a timely manner and to the appropriate staff members
  • Prepare and distribute amenity requests and insure a timely delivery of the amenity
  • Assist with mass mail-outs including building a database for specific markets
  • Assist Sales Managers with data entry and client event functions
  • Assist Sales Manager with VIP reservations and amenities
  • Make reservations as needed by clients when instructed by SM
  • Resolve general client inquiries and arrival details
  • Act as point of contact when Sales Manager is unavailable.
  • Send out surveys and thank you letters to past clients, and clients who have a great experience to the Trip Advisor site
  • Prepare BEO’s for in house meetings
  • Coordinate with F&B Manager the BEO requirements (weekly BEO meetings)
  • Post all group payments prior to group arrival and ensure routing is correct
  • Ensure setup and serving times are correct the day of all events
  • Follow up on signage for proper placement
  • Order AV equipment for all meeting held  at the resort
  • Revise and print banquets menus as needed
  • Assist with printing & creating promotional materials to benefit the resort’s catering
Experience required:
Proficient in social media
Strong oral and verbal communication skills
Minimum of 2 years of office and/or sales and marketing experience
