Al. Neyer is looking for a candidate to fill the role of Administrative Assistant to support our Design-Build team. The right individual will fill a key role supporting our Senior Administrative Coordinators with in Design-Build. Al. Qualified candidates will have previous administrative or clerical experience with solid computer skills including Excel and Word.


Summary of Responsibilities

​The Administrative Assistant handles all correspondence for the Design-Build team and assists with data entry, mailing, and filing of key documents and information.

 
  • Handles departmental mailing function and ensures contracts are prioritized and sent out in a timely and efficient manner
  • Organizes and tracks executed contracts and notifies Project Manager of receipt or issue
  • Completes filing of contracts both originals and electronically
  • Mails out checks and waivers in a timely manner to subcontractors
  • Records and tracks pertinent information from certificates of insurance and waivers
  • Updates various reports in Excel
  • Assists with answering phone calls and greeting guests
  • ​Other duties and projects assigned. Employees may be asked to perform other tasks not listed in the essential job functions.

Position Requirements
  • Working knowledge of Spectrum software a plus
  • Ability to type at least sixty (60) words per minute using Microsoft Word
  • Ability to work in a fast paced environment with competing priorities
  • Ability to perform several tasks concurrently with ease and professionalism
  • Ability to produce and edit spreadsheets using Excel
  • Familiarity and experience with general office equipment


Qualifications and Experience
 
  • Minimum of a high school diploma or GED required
  • Two years previous administrative or clerical experience required
 
Physical Demands

​Low physical effort required to sit, stand, bend stoop, lift and walk. Maximum unassisted lift is 35 pounds. Average lift is less than 10 pounds. Requires ability to use keyboard and monitor. Also requires the ability to communicate verbally, both in person and on the telephone.

​Environmental Requirements

​Average inside office environment. Average office noise levels. No personal protective equipment is required. Ambient temperature between 68F and 76F.
