Convention Services Manager

DIVISION:              Harlingen Convention Center
DEPARTMENT:      Convention Services
REPORTS TO:         Director of Sales Events & Conference Center
STATUS:                   Exempt
Harlingen Convention Center is searching for a Convention Services Manager to join our team.  This position will oversee the function space at the Harlingen Convention Center and the upcoming hotel's  meeting space for the company.  This position will work closely with the General Manager and Director of Sales to execute and meet the high expectations for guest services, financial results, property conditions and provide support to these properties on the company’s mission, goals, and objectives.

Education & Experience
  • Must have at least 1 year experience as a Convention Services Manager or supervisor at a previous company along with previous banquet experience. 
  • Must be skilled at overseeing directing a team of individuals in servicing the groups, meeting space and food and beverage events.
  • Must employ an engaged/hands on style and conduct themselves in a manner in which they as well as their team are accountable for not only their efforts, but also the outcomes.
  • A College degree or equivalent experience is preferred but not required.
As the Convention Services Manager, you will be responsible for (but not limited to) the following:
• Coordinating and ensuring execution of all conference group related activities and events.
• Lead by example and with integrity.
• Act as the liaison between the client and the staff of the property.
• Maintaining accurate records of communication with guests and staff.
• Addressing unexpected problems as they arise to ensure the function goes as planned.
• Plan and ensure execution of group event to include but not limited to dates/timing of arrival and departure, room set-ups, diagram audio visual/production needs, special needs.
• Conduct a professional, thorough site inspection of the facility with clients, exhibiting key features and benefits of the convention center
• Enhances group events and department profitably by using up-selling techniques
• Coordinates vendors, obtains quotes, client contracts etc.
• Ensure group billing is accurate and timely.
• Must be able to effectively communicate both verbally and written with all level of associates and guests in an attentive, friendly, courteous and service oriented manner 
Other Responsibilities:
o Responsible for assuring attentive, friendly courteous and efficient service to all guests and clients.
o Payroll for department.
o Must be able to multitask and prioritize departmental functions to meet deadlines
o Attend all facility required meetings and training
o Maintain regular attendance in compliance with company Standards, as required by scheduling, which will vary according to the needs of the facility.
o Maintain high standards of personal appearance and grooming, which include wearing name tag.
o Comply with company standards and regulations to encourage safe and efficient operations
