JOB SUMMARY:
Under the direction of the Director of Human Resources, the Administrative Assistant provides confidential administrative and office support to the Director of Human Resources.
 
ESSENTIAL FUNCTIONS:
  1.  Assists Director of Human Resources with a wide range of confidential, administrative, and general support activities, such as: arrange meetings, compose and prepare confidential correspondence and reports, attend meetings to take and distribute minutes, maintains administrative and HR files.
  2. Prepares for All-Agency meetings by compiling training documents, running reports for birthdays, anniversaries, and recognitions. Attends All-Agency meetings, takes notes, and reports on recognitions.
  3. Attends trainings through administration and HR resources.
  4. Assists Human Resources in all administrative functions, and maintains all Agency Organizational Charts.
  5. Prepares check/debit/credit card requisitions as needed.  Collects and reconciles receipts for Finance dept. 
  6. Performs other clerical duties as needed, such as data entry, filing, photocopying, and collating. 
  7. Provides back-up, as needed, at the reception desk.
  8. Serves as Wayne County Notary for the agency.
  9. Other duties as assigned.
 
QUALIFICATIONS:
  1. Bachelor’s degree and a minimum of three years of administrative work experience, OR high school diploma with 5 years administrative work experience.
  2. Proficiency in Microsoft Suite including Word, Outlook, Excel, PDF Writer; familiarity with HRIS, preferably Paycor, or aptitude for learning new skills.
  3. Familiarity with human resources.
  4. Demonstrated history of maintaining confidentiality.
  5. Experience working with culturally diverse populations. 
  6. Excellent time management and communication skills.
  7. Ability to apply common sense understanding to carry out instructions in written, oral, or diagram form.   
  8. Ability to manage priorities for a wide range of tasks with varying deadlines and degrees of importance; must be capable of multitasking, organizing and coordinating tasks.
 
PHYSICAL DEMANDS/WORK ENVIRONMENT:
1.  Perform computer and other desk tasks that require the ability to be stationary for extended periods of time.
2.  Some local travel required.
3.  Valid Michigan Driver's license, excellent driving record and access to personal vehicle.
